Pay: $18-21/hour
Schedule: 40 hours per week, 8-hour shifts
Practice hours are Monday-Thursday 7A-7P, Friday 7A-5P
All associates must do 1 opening and 1 late closing shift per week
Requirements:
- 1+ year of Medical Front Desk experience
- EMR experience required, eClinicalWorks preferred
- High school diploma or equivalent
- Understanding of patient account policies, insurance, and billing is preferred
- Basic computer knowledge and skills for Microsoft Office & iPad use
Responsibilities:
- Manage patient flow within the office by moving patients through a predetermined task list of requirements set forth by the practice to complete the schedule of daily appointments
- Patient check-in and check-out, chart preparation, and running of patients
- Greet all patients and visitors upon arrival, confirming the patient’s name and who their appointment is with
- Confirm that the patient has arrived within their appointment window within 20 minutes of start time and communicates all late arrivals to the physician / Medical Assistant staff for authorization to see a late arrival patient
- Verifies all demographic information and structured data fields in the EMR verbally with the patient while maintaining HIPAA compliance
- Collects and verifies all valid photo identification and insurance cards on a yearly basis including scanning card images into patient charts and making necessary updates to documentation in chart
- Issues correct hard copy intake paperwork including demographics sheets, medication lists, medication consent forms, billing policies, additional required pain management worksheets
- Upon completion of paperwork, associate provides instructions/assistance to utilize the EMR kiosk to complete any additional electronic consent forms and medical history questionnaires including obtaining necessary patient information to meet current federal guidelines and meaningful use guidelines for EMR
- Collects all co-pays, co-insurance, and any balance due on account
- Utilization of third-party applications for collection of payments for massage vendor
- Collects payment for and dispenses orthotics and records transaction on payment slip
- Maintain a payment log to assist in balancing daily deposits from copay, balance collection, or other payments collected
- Discusses patient’s insurance/billing questions or refers to billing department if further explanation is required on balance due questions
- Obtains patient authorization for medical records release while maintaining HIPAA compliance standards
- Collects and/or scans pertinent patient information into the EMR including image discs, reports, patient authorizations, test results, and recent labs delivered by patient
- Monitors the flow of patient check-in/check-out and keeps patients informed of delays
- Checks-out patients after their appointment and utilizes the resource schedules to correctly book follow-up appointments or procedure for patients based on the provider’s availability as per provided check out instructions
- Provides the patient with all necessary paperwork and instructions upon check out for procedures, prescriptions, or therapy as ordered by the doctor
- Verifies prescriptions have been sent to the correct pharmacy on file
- Answer patient questions and provide appropriate assistance when necessary
- Notifies the appropriate party of any tests or follow-up appointments requiring authorizations
- Fields interoffice phone calls and responds to emails/communications from physicians and staff
- Assignment of documents in the fax inbox to the appropriate party on a daily basis
- Assist in chart preparation according to schedule, ensuring that all records are accurate and available for the patient’s appointment
- Assist with other duties as assigned
